UK - Documents Checklist

There are documents necessary to ensure the safety of the students and to prevent travel troubles. Please see below the checklist of these key documents and feel free to print it out for review.

Students must be responsible for their documents while staying on campus. We recommend they keep all the documents in a plastic folder.
Notarized Exit Permit for Minors from the Country (if not traveling with parents)
A minor who is traveling internationally alone or with a non-parent/guardian must present a parental consent form in order to leave the country. It is important to consider that the Minor Travel Authorization must be signed by both parents in the presence of an Official Notary in order to have the document officially validated. When preparing the document, make sure to include all the necessary information, such as the full names of the parents (along with their ID/cédula numbers), the full name of the minor (along with his/her passport number), flight details, country to be visited, and departure/return dates.
Providing our students with a safe and comfortable journey is very important to us, so please keep in mind to not include the chaperone's name on the permit. In case of any last-minute positive covid test or another emergency that will prevent the chaperone from traveling, Eduexplora will replace the chaperone, however, you will probably not have enough time to replace the permit, and if you specified the name of the initial chaperone that’s no longer traveling, immigration will not allow students to exit the country and travel. Eduexplora is committed to accompanying students traveling with the group and you can rest easy knowing they’ll be safe and in great hands regardless of any circumstances.
Note that Eduexplora cannot validate this document and it doesn't have to be sent to us. Your child must keep three copies of the form when traveling, in order to present it to the airline, immigration, or security officers. Please keep in mind that each country requests different procedures to provide the authorization and you must follow the procedures from your country.

Birth Certificate
International students should bring a copy of their birth certificate, or any other document containing their parents' names, in case it is requested by immigration when entering or leaving the country.
Valid Passport
Please note that most students traveling from outside the UK must have a valid passport to enter the country. The passport should be valid for the entire duration of the stay. Please click here to verify the requirements.
Visa or ETA Waiver
For participation in the programs in England, visa requirements vary depending on the student’s nationality:
- Brazil, Chile, Mexico, and Peru: Students from these countries must obtain an Electronic Travel Authorisation (ETA). This requirement applies to the categories Study and Work, Academic Visit, and Business, as long as the stay is less than six months.
- Colombia: Students must apply for a visa to enter the United Kingdom.
It is the parents’ responsibility to ensure that students hold the correct and valid documentation (passport, ETA, or visa) for entering England. Eduexplora provides an invitation letter to support the visa or ETA request process; however, Eduexplora is not responsible for the approval of the document or for it being granted before the program start date.

Travel Health Insurance
Students attending Oxford Summer Courses are covered by insurance included in the tuition fee through Zurich Insurance Company Ltd.
The coverage includes:
- Emergency medical and other expenses: up to £2,000,000
- Baggage coverage: up to £1,000
This insurance is designed to support students during the program period. Please access the insurance policy here
However, we recommend that families carefully review the policy details to ensure it meets their specific needs, particularly regarding personal circumstances or additional coverage preferences.
Eduexplora/Oxford Summer Courses Invitation Letter
Eduexplora provides an invitation letter to facilitate the application process of international students, but it doesn't guarantee that the student will get a visa. The student must keep a copy of the letter when traveling, in order to present it to the airline, immigration, or security officers.
Flight Ticket
Students should bring the flight ticket reservation printed or digital. Besides being requested on the airline check-in, the return ticket can be requested on Immigration.
Pocket Money
The costs are covered in the tuition, however, students have the option to bring some cash for snacks at the airport or to buy souvenirs at the university or other stores.
There are some options available as per family preferences:
- Cash (we do not indicate the student to travel with a large amount of money)
- Apple Pay on the cellphone
- Credit Card
- Pre-paid Travel Card
Keep in mind that students are responsible for managing their money and expenses during the whole program.
Parental Consent Letter
Students under 18 traveling to the United Kingdom for a summer program may be asked by immigration authorities to present a Parental Consent Letter upon arrival. This document is a signed letter from the parents or legal guardians authorizing the student’s travel, accommodation, and participation in the program. Although it is not always requested, we strongly recommend that all minor students carry a printed and signed copy during their trip.
