Documents Checklist


There are documents necessary to ensure the safety of the students and to prevent travel troubles. Please see below the checklist of these key documents and feel free to print it out for review.



Students must be responsible for their documents while staying on campus. We recommend they keep all the documents in a plastic folder.




Notarized Exit Permit for Minors from the Country (if not traveling with parents)

A minor that is traveling alone or with a non-parent/guardian, has to present a parental consent form to leave the country. It is important to consider that the Minor Travel Authorization must be signed by both parents in the presence of an Official Notary in order to have the document officially validated. When preparing the document, make sure to include all the necessary information, such as the full name of the parents (with their ID/cédula numbers) and the full name of the minor (with his/her passport number), flight details, country to be visited and departure/return dates.


Providing our students with a safe and comfortable journey is very important to us, so please keep in mind to not include the chaperone's name on the permit. In case of any last-minute positive covid test or another emergency that will prevent the chaperone from traveling, Eduexplora will replace the chaperone, however, you will probably not have enough time to replace the permit, and if you specified the name of the initial chaperone that’s no longer traveling, immigration will not allow students to exit the country and travel. Eduexplora is committed to accompanying students traveling with the group and you can rest easy knowing they’ll be safe and in great hands regardless of any circumstances.


Note that Eduexplora cannot validate this document and it doesn't have to be sent to us. Your child must keep three copies of the form when traveling, in order to present it to the airline, immigration, or security officers. Please keep in mind that each country requests different procedures to provide the authorization and you must follow the procedures from your country.

Birth Certificate

Students should bring a copy of their birth certificate, or any other document containing their parents' names, in case it is requested by immigration to get in or get out of the country.


Valid Passport

Please note that some countries require travelers to have passports with at least 6 months of remaining validity as an entry requirement. To check the list of all the countries that currently follow the six-month validity rule click here. Bring a copy of the passport to carry on during the field trips.


Visa or ESTA Waiver

Students require a tourist B1/B2 visa or waiver (ESTA) to participate in the programs. It´s the parents’ responsibility to make sure students have a valid visa and passport for entering the United States. Eduexplora provides an invitation letter for visa request purposes, however, Eduexplora is not responsible for the visa being granted or being granted before the start of the program. If you have an ESTA waiver, please ensure that it is valid and associated with a valid passport. Additionally, have the ESTA printed with the authorization number.

Health Insurance 

Students must provide health insurance with Covid coverage and a minimum coverage of US $50.000 including all out-of-pocket costs, including any medications (even over the counter), transportation to the medical center, or any other medical institution. Health insurance should provide full coverage and not require the student to pay anything at all for any type of service, tests, labs, medication, etc.

Eduexplora can not recommend or promote any specific travel insurance but over the years our students have used some companies such as Mapfre, Allianz, and Assist Card.


Eduexplora Invitation Letter

Eduexplora provides an invitation letter to facilitate the application process, but it doesn't guarantee that the student will get a visa. The student must keep a copy of the letter when traveling, in order to present it to the airline, immigration, or security officers.


Flight Ticket

Students should bring the flight ticket reservation printed or digital. Besides being requested on the airline check-in, the return ticket can be requested on Immigration.



Negative Covid 19 test 

All participants - including students, staff, and chaperones - must be tested for COVID-19 prior to the programmed departure time. We strongly recommend taking all preventive measures at least two weeks before travel day, such as washing hands frequently, wearing a mask, and practicing social distancing.  


Participants have to provide one of the negative tests as follows:

1) Antigen test taken within 48 hours before the group departure time or campus arrival time.

2) PCR test taken within 72 hours before the group departure time or campus arrival time.

3) Antigen at home rapid test are accepted. Test must be taken within 48 hours before the group departure time or campus arrival time.


For options 1 and 2: Test results must be in the form of written documentation (paper picture or digital copy) specifying the full name of the tested person, the type of test, the entity issuing the result, the sample collection date, and the test result. It's not required that the results be translated into English. 


For option 3: antigens at home rapid test: 

Test results must be submitted in well-lit photo of the student holding the test device, displaying the negative result. The image must also show a piece of paper with a handwritten note stating the student's full name and confirming the negative test result, signed by both the student and parent with the date included.

The file of the document or picture must be named with the student full name, program and session.


Please complete the information and upload your negative test through the Covid Results Form as soon as you get your results.


Pocket Money

The costs are covered in the tuition, however, students have the option to bring some cash for snacks at the airport or to buy souvenirs at the university or other stores.

There are some options available as per family preferences:

  • Cash (we do not indicate the student to travel with a large amount of money)
  • Apple Pay on the cellphone
  • Credit Card
  • Pre-paid Travel Card

Keep in mind that students are responsible for managing their money and expenses during the whole program.
