UBC and Oxford Flight Information

Eduexplora coordinates group flights for International programs in your destination country and provides 1 chaperone for every 20 students, with a minimum of 10 students per country and program. Group flight coordination from Latin America is only provided from the following cities: Mexico City (Oxford/UBC), Bogota (Oxford), and Sao Paulo (Oxford/UBC).
Students traveling from other countries/cities must arrange their own transportation and unaccompanied minor service for the flight to the departure city. Chaperones accompany students only from the cities listed above.
At the university, the expected ratio of students per adult is 1 adult for every 10 or 12 students.
To facilitate the process, Eduexplora collects the funds on behalf of the airline for the group flights to and from the destination country. Flight tickets will be sent after a few weeks once the group tickets are issued by the airline.

- In case a flight is canceled or rescheduled, the airline will prioritize students with the same group reservation code. Because of airline restrictions, only if you choose travel option 1 will the same reservation code be assigned to your child.

- Airlines might require minor accompanying service when a ticket is purchased separately, regardless of traveling in the same group flight.
- If selecting option 1, you will be redirected to the payment site. If payment is not completed, by default it will be considered that your child will be traveling separately and not with any of the group flights. Payment must be completed within the deadline to comply with the airline’s requests.
Eduexplora provides a group flight option that takes into consideration the following:
Airline Selection: For the safety of our students, we only travel with major, well-established airlines that meet high safety and operational standards.
Itinerary: The flight must arrive and leave on the exact dates the program requires to check in and check out.
Flying Time: Direct flights will be prioritized whenever possible. In case direct flights are not available, itineraries with reasonable connecting times will be prioritized.
Capacity: The flight must have enough seats for all students traveling together under the category of a group flight reservation.
Price: The lowest price that meets the above factors will be prioritized. Please note that prices for group flight reservations usually differ from individual prices.
All flight information, including payment deadlines, is communicated via email. It is essential to check your email regularly, as payment deadlines are strictly enforced due to airline regulations. If the group falls below the minimum of 10 passengers, individual tickets are issued instead. In such cases, the payment deadline is 24 hours.
Students are accompanied by a chaperone in the group flight and throughout the program. Chaperones are responsible during the trip (flight and airport transportation) for students traveling in the group flight. While on campus, chaperones are responsible for all students participating in the residential program.
Important Considerations for Booking Group Flights for Unaccompanied Minors
Rules for Unaccompanied Minors: Some airlines charge additional fees for minors traveling without an adult. Also, some promotional fares do not apply to unaccompanied minors, which may limit the availability of lower prices.
Group Booking vs. Individual Purchase: When booking for a group, the airline needs to ensure that everyone travels together, which may result in higher fares compared to those available for individual purchases.
Flexibility and Benefits: Group bookings often include special conditions, such as longer payment deadlines. These advantages may result in a slightly higher price compared to individual fares, which are usually more restrictive.
Assistance and Supervision Costs: Depending on the airline, there may be specific requirements for groups of minors, such as the need for special supervision at the airport, which could incur additional costs.

Option 1: Full Group Travel
- Includes Airport – University- Airport transportation.
- Includes Chaperones for the group passengers.
- When selecting option 1, Eduexplora will collect the cost of air tickets, and you will be redirected to the payment site. Payment must be completed within the deadline to comply with airline requirements. If payment is not completed, by default, it will be considered that the student will be traveling separately and not with any of the group flights.
- Practical information about the airport meeting point and the time as well as the contact information of the chaperone, will be shared during the Pre-Departure Meeting to be held about 1 month prior to the start of the program.
Conditions:
- Tickets are not refundable.
- Ticket does not allow individual or group changes.
- Mileage cannot be used to pay for the ticket in the Group Reservation.
- 01 carry-on luggage (up to 10kg) and 01 pieces of luggage (up to 23kg) are included.

Group bookings do not allow for advance seat selection; however, the airline will do
its best to seat the group as close together as possible.
Option 2: Partial Group Travel (Group Flight TO the destination country only)
Students who want to go only one way with the group flight must purchase their round-trip flight tickets (both ways) independently, through their preferred provider, not through Eduexplora. Please make sure you mark option 2 if you are only going to the destination country on the same flight as the group and departing on your own.

- Arrival: Includes airport-to-university transportation with the group.
- Includes Chaperones for the flight to the destinaton country only.
- Tickets purchased separately create a new reservation code (that will differ from the group flight).
- If a flight is canceled or rescheduled, the airline will prioritize students with the same group reservation code. Because of airline restrictions, only if you choose travel option 1 will the same reservation code be assigned to the student.
- Some airlines require minor accompanying service when a ticket is purchased separately
- Students are responsible for checking out of campus independently on the designated time or may use the shuttle service on the official departure day, within the scheduled hours.
- After arrival at the airport, students are not escorted to the airline counter and no assistance with airline check-in will be provided. Students and families are responsible for completing the check-in and all required airport procedures.
- Eduexplora is not responsible if the flight is late or there are any other delays due to immigration, waiting for luggage, or any other reason. Parents must plan accordingly to make sure their child will be able to meet staff at the designated meeting point and time.
- The contact information of the staff in charge of meeting and greeting the student at the airport will be shared closer to the program. Students must have roaming enabled or an activated eSIM card to ensure successful contact with the staff at the airport.
- Eduexplora is not responsible if the flight is late or there are any other delays due to immigration, waiting for luggage, or any other reason. Parents must plan accordingly to make sure their child will be able to meet staff at the designated meeting point and time.
- Eduexplora is not responsible for providing chaperones on the transportation from the university campus to the airport.
- Eduexplora is not responsible for supervising the student if doesn't check out within the requested time frame and /or guaranteeing there will be staff or chaperones available after this time.
- Eduexplora is not responsible if the individual student´s flight is changed or canceled.
- Chaperones must always stay with the group and are not responsible for the students after they check out of campus.
- The contact information of the staff in charge and the check-out address will be sent a few weeks before the program.
- Practical information about the airport meeting point and the time, as well as the contact information of the chaperone, will be shared during the Pre-Departure Meeting to be held about 1 month prior to the start of the program.
- To mitigate potential risks in the event of flight cancellations, we will request that you send the student’s individual reservation code. This will help the airline identify that your child is traveling with the group and may facilitate rebooking together with the group whenever possible.
Option 3: Partial Group Travel (Group Flight to the Home Country only)
Students who want to go only one way with the group flight must purchase their round-trip flight tickets (both ways) independently, through their preferred provider, not through Eduexplora. Please make sure you mark option 3 if you are only going to the home country on the same flight as the group and arriving on your own.

- Eduexplora is not responsible for escorting unaccompanied minors from the arrival gate to the designated meeting point. Students must proceed independently to check in with the staff at the assigned location.
- Eduexplora is not responsible if the flight is late or there are any other delays due to immigration, waiting for luggage, or any other reason. Parents must plan accordingly to make sure their child will be able to meet staff at the designated meeting point and time.
- Eduexplora is not responsible for providing chaperones on the transportation from the airport to the university campus.
- Eduexplora is not responsible for supervising the student if doesn't check in within the requested time frame and /or guaranteeing there will be staff or chaperones available before this time.
- Eduexplora is not responsible if the individual student´s flight is changed or canceled.
- Chaperones must always stay with the group and are not responsible for the students before they check in on campus.

Students who won't travel both ways on the same flight as the group must purchase their round-trip flight tickets independently, through their preferred provider, not through Eduexplora. Please make sure you mark option 4 if you are arriving and departing on your own.
